Tell Them When You’re Running Late—Before They Have to Ask

Few things erode trust faster than a customer sitting at home wondering where you are. It’s 9:15 AM. You said you’d be there at 9:00. Their phone hasn’t buzzed. They’re pacing. They’re annoyed. And you haven’t even left the last job yet.

Running late happens to every tradie. Traffic, the previous job ran over, a part took longer to source than expected. Customers understand this—they’re reasonable people. What they don’t understand is silence. When you don’t communicate, they assume the worst: you forgot, you don’t care, or you’re not coming at all.

The fix is absurdly simple: send a message before they start worrying. If you’re running 20 minutes late, tell them. “Running 20 mins behind due to traffic on the motorway. Still coming—see you around 9:20.” That’s it. Two sentences that transform irritation into understanding.

This isn’t complicated technology. Every phone can send a text. Every driver (or passenger) can dictate a message. It takes 30 seconds and saves you from starting every job on the back foot, defending yourself against someone who’s already frustrated.

The psychology matters here. Proactive communication signals respect and professionalism. Reactive communication—only responding when they call asking where you are—signals thoughtlessness. The same delay feels completely different depending on when you tell them.

The best tradies build this into their routine. They set calendar alerts to notify the next customer if they’re running behind. They train apprentices to send updates. They know a late arrival with forewarning beats an on-time arrival that leaves the customer anxious.

Don’t make them hunt you down. Own the delay, communicate early, and start the job with trust intact.
